Invoices are a crucial part of business and every organization needs to have one. Having a professional invoice lets you keep track of your everyday purchases and inventory and monthly reports will be a breeze.
A lot of invoice template pdfs are available online and there are a lot of options to choose from. But it isn’t always easy finding the right template that can fit all the details you need to put in your invoice. Sometimes, it adds more to the problem.
What Should You Put on Your Invoice Template?
The details you put into your invoice is very important. Some details are put by default and you could add more if you want. Here are the list of the details you need to put on your invoice:
- Your name/ Business name and/or logo
- The word INVOICE should be big and seen on top of the page
- Your client’s name and/or business name
- Your client’s address
- Your or your business’s address, telephone number and other relevant information
- Invoice or order number
- Issuance date of invoice
- Payment terms
- List of all services (itemized)
- Important notes
- Total bill including taxes and other fees
- Instructions on how to pay
Take note that everything mentioned above is to be seen on your invoice. You can add more but never lessen the details. All of these are crucial if you ever encounter problems regarding your sales.
Including Payment Terms
Each of your client will have different types of payment terms. For you not to get confused and have problems, it is suggested that you add your payment terms on your invoice. Here is a list of terms you need to know:
PIA (Payment in Advance) – your client needs to pay their invoice before any service is done.
Net 7 (Payment 7 days after invoice date) – your client has a week to pay for their invoice.
Net 30 (Payment 30 days after invoice date) – your client has 30 days (1 month) to pay for their invoice.
Due on Receipt – your client needs to pay for their invoice as soon as they receive it. This depends on the processes their company has in order for the payment to be done.
Processing these payments are not easy and you have to be patient with your client. Everything needs to be logged so that it would be easier for you to find an invoice if you encounter a problem.
